ACCEPTABLE USE POLICY

CHAPTER 1: INTRODUCTION
1.1 Purpose of this Policy
This Acceptable Use Policy explains the rules that apply when users access or use Coffee Business Planning & Analytics or Coffee Farm Planning & Analytics ("the Platform").
The purpose of this Policy is to protect users, organisations, farm data, Platform security, intellectual property, service availability and lawful use of the Platform.
1.2 Scope
This Policy applies to all users, organisations, administrators, employees, consultants, field officers, agronomists, cooperatives, institutions and any other person who accesses or uses the Platform.
1.3 Relationship with Other Legal Documents
This Policy should be read together with the Platform Terms of Use, End User Licence Agreement, Privacy Policy, Cookie Policy, Planning and Forecast Disclaimer and any applicable subscription or service agreement.
CHAPTER 2: GENERAL USER RESPONSIBILITIES
Users must use the Platform lawfully, responsibly and in accordance with authorised access rights.
Users are responsible for:
- Keeping login credentials confidential.
- Using only accounts assigned to them.
- Entering accurate and lawful information.
- Respecting organisation-level permissions.
- Protecting confidential farm, financial and business data.
- Reporting suspected misuse or unauthorised access.
- Complying with applicable laws and Platform policies.
CHAPTER 3: PERMITTED USE
Users may use the Platform for legitimate coffee farming, agribusiness, planning, reporting and management purposes, including:
- Managing farm, block and coffee cohort records.
- Recording harvests, sales, purchases, expenses and investments.
- Planning farm activities, budgets, labour and inventory.
- Tracking agronomy programmes, soil analysis and crop health issues.
- Preparing scenarios, forecasts and investment analyses.
- Generating reports, dashboards and performance indicators.
- Uploading relevant farm documents, photographs and supporting records.
- Managing authorised users within an organisation.
- Exporting reports for internal business use.
CHAPTER 4: PROHIBITED ACTIVITIES
4.1 Illegal or Fraudulent Use
Users must not use the Platform for any unlawful, fraudulent, deceptive or harmful purpose.
Prohibited conduct includes:
- Entering false records for fraudulent purposes.
- Using the Platform to mislead investors, lenders, buyers, regulators or partners.
- Creating fake farms, fake organisations or fake user accounts for dishonest purposes.
- Using reports or forecasts to support fraud or misrepresentation.
- Violating tax, accounting, agricultural, data protection or other applicable laws.
4.2 Unauthorised Access
Users must not access or attempt to access data, accounts, farms, organisations, systems or features for which they have not been authorised.
Prohibited conduct includes:
- Attempting to view another organisation's data without permission.
- Using another person's login credentials.
- Bypassing role-based access controls.
- Escalating privileges without authorisation.
- Testing security weaknesses without written permission.
- Accessing administrative functions without approval.
4.3 Security Abuse
Users must not interfere with Platform security, availability or integrity.
Prohibited conduct includes:
- Uploading viruses, malware, spyware or harmful code.
- Attempting denial-of-service attacks.
- Scanning, probing or testing Platform vulnerabilities without permission.
- Interfering with servers, networks, databases or infrastructure.
- Attempting to bypass authentication or session controls.
- Using scripts, bots or automated tools that overload the Platform.
4.4 Misuse of Data
Users must not misuse customer, farm, financial, production, agronomy or organisation data.
Prohibited conduct includes:
- Copying another organisation's data without permission.
- Exporting confidential data for unauthorised purposes.
- Disclosing farm or financial records without authority.
- Using data to harm competitors, farmers, cooperatives or business partners.
- Uploading personal data without lawful authority.
- Publishing confidential reports without permission.
4.5 Intellectual Property Misuse
Users must respect the Platform's intellectual property rights.
Prohibited conduct includes:
- Copying the Platform software or interface.
- Reverse engineering, decompiling or disassembling the Platform.
- Attempting to discover source code, algorithms or proprietary methods.
- Reproducing reports, dashboards or models as part of a competing service.
- Removing copyright notices, trademarks or proprietary labels.
- Using Platform branding without permission.
4.6 Content Misuse
Users must not upload, store, publish or transmit content that is unlawful, harmful or inappropriate.
Prohibited content includes:
- Malicious files or unsafe attachments.
- False, misleading or defamatory information.
- Content that infringes third-party rights.
- Confidential information uploaded without authority.
- Harassing, abusive, threatening or discriminatory content.
- Content unrelated to legitimate Platform use.
CHAPTER 5: DATA INTEGRITY
5.1 Accurate Records
Users are expected to enter information that is accurate, complete and truthful to the best of their knowledge.
5.2 Responsibility for Inputs
The Platform's forecasts, reports and dashboards depend on user-entered data. Users are responsible for reviewing and correcting inaccurate records.
5.3 No Manipulation
Users must not intentionally manipulate data, scenarios, forecasts or reports to deceive another person, organisation, lender, buyer, investor, regulator or business partner.
CHAPTER 6: USE OF FORECASTS AND REPORTS
Users may use Platform reports and forecasts for internal planning, management, analysis and decision support.
Users must not:
- Represent forecasts as guaranteed outcomes.
- Use projections to mislead investors, lenders or business partners.
- Remove disclaimers from exported reports where included.
- Present Platform outputs as independent professional advice.
- Use reports without reviewing assumptions and data accuracy.
All use of forecasts remains subject to the Platform Planning and Forecast Disclaimer.
CHAPTER 7: ACCOUNT AND PASSWORD SECURITY
Users must keep account credentials secure.
Users must not:
- Share passwords with unauthorised persons.
- Use another user's account.
- Create accounts using false identity information.
- Continue using an account after authorisation has been withdrawn.
- Ignore suspected account compromise.
Users should immediately report suspected unauthorised access, stolen credentials or unusual account activity.
CHAPTER 8: ADMINISTRATOR RESPONSIBILITIES
Organisation administrators are responsible for managing access within their organisation.
Administrators should:
- Assign appropriate roles and permissions.
- Remove users who no longer require access.
- Review organisation membership periodically.
- Ensure users understand their responsibilities.
- Protect confidential organisation data.
- Report suspected misuse or security incidents.
CHAPTER 9: THIRD-PARTY SERVICES
Users must comply with applicable third-party terms when using integrated services such as payment providers, email tools, hosting services, mapping services, analytics tools or market data services.
Users must not misuse third-party integrations or use them to violate this Policy, third-party rights or applicable law.
CHAPTER 10: MONITORING AND ENFORCEMENT
10.1 Monitoring
We may monitor Platform activity, logs, usage patterns and security events to protect users, organisations, data, infrastructure and service availability.
10.2 Investigation
We may investigate suspected violations of this Policy, Terms of Use, security rules or applicable law.
10.3 Enforcement Actions
Where we reasonably believe that a user has violated this Policy, we may take appropriate action, including:
- Issuing a warning.
- Requesting correction or removal of content.
- Restricting access to certain features.
- Suspending a user account.
- Suspending organisation access.
- Terminating access.
- Preserving evidence for legal or audit purposes.
- Reporting unlawful conduct to relevant authorities where required or appropriate.
CHAPTER 11: SUSPENSION AND TERMINATION
Access may be suspended or terminated where a user:
- Breaches this Policy.
- Breaches the Terms of Use or EULA.
- Creates security or operational risk.
- Engages in fraud or unlawful conduct.
- Misuses organisation or customer data.
- Fails to pay applicable fees.
- Uses the Platform in a way that may harm other users or the Platform.
Suspension or termination may occur with or without prior notice where urgent action is necessary to protect users, data, systems or legal rights.
CHAPTER 12: REPORTING ABUSE OR SECURITY ISSUES
Users should promptly report suspected abuse, unauthorised access, data misuse, account compromise, security vulnerabilities or violations of this Policy.
Reports may be submitted to the Platform owner or authorised support contact.
Users must not publicly disclose security vulnerabilities before giving the Platform owner a reasonable opportunity to investigate and resolve the issue.
CHAPTER 13: CHANGES TO THIS POLICY
We may update this Acceptable Use Policy from time to time to reflect changes in the Platform, security requirements, legal obligations or business practices.
Where changes are material, users may be notified through the Platform, email or other reasonable means. Continued use of the Platform after the updated Policy becomes effective constitutes acceptance of the updated Policy.
