How to Enroll and Set Up Your Coffee Farm Organization
Coffee Planning & Analytics helps coffee farmers, estates, cooperatives, consultants and agribusinesses centralize farm records, improve planning, monitor performance and make better management decisions using reliable operational and financial information.
Enrollment involves creating your account, setting up your farm organization, configuring farms and farm blocks, creating coffee cohorts, defining farm years and seasons, assigning users, and preparing the records needed to begin using the platform effectively.
The platform is suitable for individual coffee farmers, family farms, commercial estates, cooperatives, farm managers, accountants, consultants, investors and agribusinesses managing one or more coffee operations.
1. Contact Our Support Team
The first step is to contact our support team and request enrollment. We will discuss your farm management requirements, the number of farms or organizations you manage, the type of records you currently maintain and the subscription plan that is most suitable for your operations.

When contacting us, provide your name, the name of your farm business or organization, your location, your telephone number and a brief description of the farms you would like to manage on the platform.
2. Choose a Subscription Plan
Our team will help you select a subscription plan based on the number of organizations you need to manage and the level of support required.
- Trial Plan: Suitable for evaluating the platform for a limited period before selecting a paid plan.
- Single Organization Plan: Suitable for an individual farmer, estate or business managing one farm organization.
- Business Plan: Suitable for businesses, consultants, cooperatives or groups managing more than one farm organization.
The primary account holder becomes the owner of the farm organization and may work with managers, accountants, field officers and other authorized users.
3. Creation of Your Account and Farm Organization
After your enrollment request has been reviewed, the system administrator will create the required records for you.
- Your user account
- Your customer subscription
- Your farm organization
- Your initial owner access
You will then receive login instructions and any initial guidance required to access the platform.
4. Understanding the Farm Organization Structure
A farm organization is the highest management level in the platform. It represents the coffee business, estate, cooperative, company, consultancy or family farming operation being managed.
All farms, users, financial records, operational records, assets, inventories, harvests, sales and reports are organized under the farm organization.
Example Structure
Farm Organization
|
|-- Farm One
| |
| |-- Block A
| | |
| | |-- Coffee Cohort 1
| | |-- Coffee Cohort 2
| |
| |-- Block B
|
|-- Farm Two
|
|-- Block C
5. Setting Up Your Farms
A farm organization may contain one farm or several farms. Each farm represents a physical farming location, estate or separately managed coffee property.
- Farm name
- District, village or general location
- Total acreage
- Ownership or lease information
- General farm notes
Separating farms makes it easier to compare production, operating costs, capital expenditure, labour use, harvests, sales and profitability by location.
6. Dividing Farms into Blocks
Each farm can be divided into smaller operational units known as farm blocks.
A block may represent a field, plot, section or management area within a farm. Blocks are important because different parts of the same farm may have different coffee varieties, tree ages, soil conditions, slopes, rainfall patterns and irrigation requirements.
- Block name or code
- Block acreage
- Soil type
- Topography or slope
- Altitude, where available
- Irrigation status
- Latitude
- Longitude
- General block notes
GPS Coordinates and Weather Information
GPS coordinates are recorded for each farm block rather than only at the general farm level. This allows the platform to obtain weather information that more closely represents the actual location of the coffee trees being managed.
The latitude and longitude recorded for a block may be used when importing historical weather records and future weather forecasts from supported weather services.
- Importing historical rainfall and temperature records
- Importing future weather forecasts
- Monitoring rainfall by block
- Identifying dry spells
- Comparing forecast weather with actual weather
- Estimating crop water requirements
- Supporting irrigation planning
- Assessing weather-related production risks
7. Creating Coffee Cohorts
Within each block, coffee trees can be grouped into coffee cohorts.
A coffee cohort is a group of trees that share similar characteristics, such as variety, planting date, spacing, age, management history and production stage.
- 800 Robusta coffee trees planted in March 2021 at 10 feet by 10 feet.
- 1,200 young coffee trees planted in April 2025 at 10 feet by 5 feet.
- 500 mature trees undergoing rehabilitation after stumping.
- 300 replacement trees planted through gap filling.
Cohort data supports tree population analysis, water requirement estimation, yield forecasting, spacing analysis, establishment costing, break-even analysis, investment appraisal and rehabilitation planning.
8. Setting Up Farm Years and Seasons
The platform organizes operational and financial information by farm year and production season.
- Operating expenses by year and season
- Capital expenditure by year
- Harvest quantities by season
- Sales revenue by season
- Labour costs by period
- Budget performance by year
- Yield performance across seasons
- Profitability trends over time
9. Adding Team Members and Assigning Roles
- Owner: Has overall control of the organization and subscription.
- Manager: Oversees farm setup, planning and operational records.
- Accountant: Manages expenses, budgets, payments and financial reports.
- Field Officer: Records field operations, assessments, labour and farm activities.
- Viewer: Reviews information without making major changes.
Users working under the same farm organization do not require separate subscriptions.

- Solar radiation
- Reference evapotranspiration
- Soil-moisture status
This information supports dry-spell monitoring, spraying decisions, irrigation planning, fertilizer timing, harvesting and other field activities.
12. Irrigation and Water Planning
Water requirement estimates may use coffee type, tree age, tree population, soil type and irrigation losses.
- Net crop need: water required by the coffee trees
- Expected losses: water lost through leakage or inefficiency
- Gross water to pump: total water that should be supplied
Irrigation plans may estimate blocks to irrigate, total water required, number of days, labour, pumps, fuel and planned completion dates.

Before the subscription expiry date, the organization owner should contact support to request renewal. Depending on platform policy, an expired subscription may temporarily allow read-only access while preventing new or changed records.
18. Frequently Asked Questions
Can I enroll if I manage only one farm?
Yes. The platform is suitable for both single farms and organizations managing several farms.
Can I enroll if my records are incomplete?
Yes. You can begin with the information currently available and improve the records over time.
Can historical expenses and harvest records be entered?
Yes. Historical expenses, capital expenditure, harvests and sales can be entered.
Can more than one person use the system?
Yes. The owner may work with managers, accountants, field officers and viewers.
Why are GPS coordinates recorded at block level?
Weather conditions may differ across blocks, especially on large farms or where altitude, slope and exposure vary. Block-level coordinates improve the relevance of weather history, forecasts and irrigation analysis.
Must I have GPS coordinates before enrollment?
No. Enrollment can begin without them. Coordinates can be added later, but they are required before importing location-specific weather information for a block.
